Sync Contacts from Benchmark Email to CRM

Problem

Tina has just created a Benchmark CRM account. She has an existing Benchmark Email account from where she’d like to import contacts. Since she’s integrated her Benchmark Email lists with her e-commerce platform, she’d also like any changes to fields in Benchmark Email contacts to automatically update her CRM contacts.

Solution

Set up an API Sync for Benchmark Email. This sets an automated process where the CRM pings her Benchmark Email account at a set interval to check for changes on the selected Benchmark Email list.

If a CRM contact/lead’s email address matches an email address on the Benchmark Email selected list, then CRM contact (or lead) will be updated.

  • You control the fields to be updated in the field mapping process when setting up your sync.
  • Information flows from Benchmark Email -> Benchmark CRM

If there’s no matching email address, then the CRM will create a new contact (or lead) with the Benchmark Email contact information. 

  • this is an optional setting: click on the “create new records” checkbox when setting up your sync

 

Copy your Benchmark Email API key from Benchmark Email

In Benchmark Email

  1. Log in
  2. Click on the User Menu
  3. Click on Integrations
  4. Click on API Key
  5. Copy your API key 

In Benchmark CRM

  1. Log in
  2. Click on the User Menu
  3. Click on Settings
  4. Click on API Sync
  5. Click on New API Sync
  6. Name your sync
  7. Choose Benchmark Email from the sync list
  8. Click Edit
  9. Enter or paste your copied Benchmark Email API key
  10. This will now bring in your Benchmark Email contact lists
  11. Choose a Benchmark Email contact list for sync
  12. Select which Module to sync with – this will either update your CRM contacts or leads
  13. Choose whether the sync should ignore Benchmark Email contacts whose email address does not match a CRM contact or lead. If you choose Ignore, then the sync will find matching email addresses, then update the CRM fields with Benchmark Email field data, but will NOT create new CRM contacts or leads if there’s no matching CRM contact or lead. If you choose Create New Record, then the sync will find matching email addresses, then update the CRM fields with Benchmark Email field data, AND will create new CRM contacts or leads if there’s no matching CRM contact or lead.
  14. Click the Save/Next button
  15. Map Fields. This will choose which CRM fields will be overwritten by new or mismatched Benchmark Email contact list data. Email Address is a required mapping.
  16. Choose the sync interval
  17. Click Save
